What sensitive and confidential information do Wauton Samuel hold?
Wauton Samuel only hold data you give to us. We do not collect data directly from pupils or employees of your school. This data could be your main data base or data in other forms such as assessment results on paper. If we contact you for a voluntary survey we never collect sensitive or confidential information.
Why do Wauton Samuel need my school’s data?
Wauton Samuel may need to hold a copy of your data for the following reasons:
- To investigate queries raised by your school or your Local Authority
- To work on your database at your schools request
- To test changes to our software
- We have been asked to keep a copy by your school
We also hold basic details about some individuals in your school such as their name and their position within your school. We need this information when we send letters etc to your school.
Who will this data be shared with?
Wauton Samuel never share your schools data with any other organisation unless we are requested to do so by you. In any case it will never be shared with any organisations outside of the European Union.
How long will Wauton Samuel keep my data?
Wauton Samuel only keep this data for as long as we need it. We have procedures in place to delete any schools data that is older than three months. We may keep data for longer than this if we have been asked to do so by your school.
What do Wauton Samuel do to ensure my data is secure?
Wauton Samuel have very robust procedures in place to make sure your data can never be used inappropriately.
Staff are trained on handling sensitive and confidential information when they join and the are required to sign a disclosure form annually. All your data bases are protected with a password and all our laptops are encrypted. When we take data out of the office it is always using a password protected USB device.
Although the Data Protection Act mainly covers information stored electronically, Wauton Samuel also apply the principles of the Act to information on paper.
Wauton Samuel also audit their data protection procedures quarterly.

Your rights to view the data we hold about you.
Under the Data Protection Act you have the right to request a copy of the data we hold about you in electronic form. To do this please write to the Office Manager. Under the Data Protection Act we have the right to charge you a small fee for this.
Who can I complain to if I am not happy about the way you are handling my data?
In the first instance please write to the Wauton Samuel Office Manager. If you are not happy with their reply you can raise the issue with the Information Commissioner.
