Wauton Samuel – Finance Package Upgrade Procedure

 

Downloading

 

1.        From the computers desktop double left click on the Internet Explorer™ icon to load your web browser.  Alternatively you can left click start, move up to programs and then select Internet Explorer™.

 

2.        One your web browser had loaded, in the address bar type; http://www.wautonsamuel.co.uk.  This will take you to the Wauton Samuel website where you can download the upgrade from.

 

 

3.        Once the homepage has loaded you will be able to see a link at the top of the page saying “software downloads”.  By left clicking on this link you will
proceed to the download section of the website.                                         
Once the download section of the website has loaded you will be able to see the Finance module on the left and a version number on the right.  By left clicking this version number you will be begin the download procedure.

 



4.        The first message that you will be presented with will be a dialogue box asking for a network password.  You will need to know the User Name and Password in order to download the selected file.  You should have received a username and password list in the post or by e-mail.  If you have not received this, then please call Wauton Samuel and obtain them.
Enter the username and password and then click on the ok button, if you have entered the password and username correctly the dialogue box will disappear and you will be presented with a file download option.

 

 

5.        You will now be presented of an option to run the file from its current location or to save the file to disk.  The default option for this is “save this file to disk”, if this option is not already selected, tick this option and then click on the ok button.

 

 

6.        You will now be presented with a save as box.  Where you have the option to save in, make sure you select the WS Finance folder located on the main server.  To select the folder if you are not defaulted to it, selected C: from the save in drop down list, once selected in the bigger window underneath you should be able to see the WS Finance folder, double left click this folder and then left click the save button.

 

 

  1. During the download of this file you will now see a status window, which lets you know on the progress of your download.  The dialogue window shows you, on average, how long your download will take, the transfer rate, and how much it has so far downloaded.

 



  1. Let this file complete downloading and if successful, the download window will tell you that the download had been successful.  Left click the close button to return to Internet Explorer.  Close Internet Explorer and you will return to the computers desktop.

 

  1. If your download was unsuccessful you will be presented with an error message on your screen telling you the Internet Explorer™ could not download the selected file.

 

 

Installation

 

1.        Now that you have successfully downloaded the upgrade file you can now install it.  Right click on start and left click explore.  This will load your file browser.  On the left hand window scroll up till you find C:,  when you have left click it.  On the right hand window you should now be able to see the WS Finance folder.  Double left click this folder and you will now be looking at all the files contained within the WS Finance Folder.

 

 

2.       You will now need to search for a file named Net.exe.  Once you have located this file double left click on it, this will load a Win-Zip Self Extractor program.  The “Un-Zip To Folder” path should already be defaulted to c:\wsfinance, this is where Win-Zip will extract the files to which are necessary to install the upgrade.  If the path is not correct then change it.

 

 

 

1.        Left click the Un-Zip button and you will be able to see a blue bar at the bottom of the Un-Zip dialogue box informing you of the status of the Un-Zipping procedure.  Once this process has been completed a message telling you that 10 files have been un-Zipped successfully will appear on the screen.  Left click on ok to close this message and then left click close on the Win-Zip self extractor program.

 

 

 

2.       Once you have closed the Win-Zip Self Extractor program you should be left with Windows Explorer on the screen.  On the right hand window, right click your mouse button and then left click refresh, you should now be able to see a folder named Disk Images Finance.

 

 

3.       Double left click this folder and you will now be able to see another folder named Net.  Double left click on this folder to view the files contained within this folder.
Within this folder find a file named “FinanceSetUp.mde”, once you have located this file, double left click to start the finance upgrade.

 

 

4.       You will be greeted with a message informing you that the process is going to upgrade your current version of the finance module, left click OK to proceed.

 

The next message asks you for the location to install the program to.  Left click ok to this message and the upgrade process will continue.

 

 

5.       On screen you will see a box that will show various messages on the status of the upgrade.  Once this has finished you will be presented with a message that states the upgrade procedure has copied all of the files needed and will now make changes to the structure of the finance data.

 

 

 

6.       Left click ok to proceed with the upgrade.  At this point you will need to enter your password.  Enter your password, which you use to sign on finance with the left click ok when you are presented with the first message.  Left click ok to the first message and you will then be presented with a message prompting you to make sure that everybody has signed of using finance.  Before proceeding make sure that everyone has, when you have done this left click ok to continue.

 

 

The next message asks you for the location of your finance data.  In most cases the path that it shows on the message is correct, left click ok if you are certain the path is pointing to the correct place. If however you are unsure left click no and search for the data your self.

 

 

 Left clicking no will load a new window; this will allow you to find the finance data yourself.  At this point you must remember that the finance data will only be in the WS Finance folder located on the server, not on a networked machine.  If you are certain that the computer you are on is the server then point the look in box to c:\.  In the bigger window underneath you will now be able to see the WS Finance folder.  Double left click this folder and should now be able to see all the files and folders contained within the inside your finance folder.  You will also now, provided you are on the server, be able to see the FinanceDate.mdb.  Double left click FinanceData.mdb and your upgrade will resume.

 

 

If you are running the upgrade from a machine that is not the server and you need to find the data source then you will need to go through the network.  You might have a mapped network drive already set up.  If not you will have to go through network neighbourhood.  In the look box, bring up the drop down list and see if you can see a mapped network drive, this will look something like “G: on server C:” or “Finance on Mary”.  If you do not have an option like this then proceed through the list until you find network neighbourhood.  Once you have selected network neighbourhood you should be able to see a list of networked computers on the window underneath.  Choose the server computer then double click on it.  You will now be able to see either a folder named C or you will be able to see the WS Finance Folder.  If you can only see the C option double left click on it and you will now be able to see the WS Finance folder.  Double left click on the finance folder and you will be able to see a list of files and folders, find the file named FinanceData.mdb and double left click on it, your upgrade procedure will now continue.

 

 

7.      
When this process is running you will again see various messages on the screen letting you know on the status of the upgrade. 

 

 

8.       Once this process has finished a message will appear on screen informing you that all changes have been made, you will then get another message informing you to contact Wauton Samuel if you had any trouble or any errors during the upgrade proceed, left click ok to both these messages and you will be returned the computers desktop. Check that you are on the right version by left clicking the about button when you next start the finance program. This is the upgrade installation complete.

 

 

Installing The Upgrade Around The Network.

 

1.        If you have more than one machine that uses the finance program then they to will have to be upgraded.  This is a very simple process.

 

2.       When you use the finance program from another machine it will automatically detect if the current machine your using needs upgrading or not.  If it does need upgrading, then you when you start the program you will be issued with a message informing you that you need to upgrade your current machine and would you like to do it now?

 

 

3.         Say yes to this message and access will load again and inform you that it is copying a new version of the finance program to the machine that you are working on. 

 

 

4.        Leave this process to run through and once completed you will receive a message informing you that the process has completed successfully.  Left click ok to this message and the message and access will close. 

 

 

 

5.       Restart your finance program and check the version number by left clicking on the about button.  If the version number matches that of the download then you know that it has copied successfully.

 

 

 

 

ATTENTION

PLEASE MAKE SURE THAT ALL THE COMPUTERS ARE RUNNING THE CORRECT VERSION NUMBER BY LEFT CLICK THE ABOUT BUTTON.  THE VERSION NUMBER SHOULD MATCH THE SAME VERSION ON THE DOWNLOAD PAGE OF THE WAUTON SAMUEL WEBSITE.  IF YOU HAVE ANY QUERIES OR PROBLEMS PLEASE CALL US ASAP.
